How we prepare an office move
Establish the route through the building.
We note tight parking, the distance between the office and truck, parking permits and any designated loading requirements. In a busy building, we look at quieter periods and ask whether elevator access can be reserved for the moving crew.
Elevator availability and item fit are separate questions. We assess whether larger pieces can use the elevator, whether stairs are required and what alternatives need to be planned if a piece will not fit.
Identify the items that need a different approach.
As we walk the office with you, we note pictures, TVs, monitors and other items that need specialized boxes beyond standard small, medium and large cartons. Heavy office printers and other substantial equipment are reviewed for the additional movers or handling methods they may require.
Document each room and plan disassembly.
We photograph each room to record its contents and visible condition. Large desks and conference tables are assessed for disassembly and reassembly, including the tools needed and how the pieces can be handled through stairs or elevators.
Prepare the materials for packing and moving day.
The walkthrough helps us estimate the boxes, specialized packing materials and moving pads the job needs. We use that information to load the truck with the planned supplies before departure, alongside the tools identified for the furniture.
Check the destination, too.
When available, we walk through the destination building. Otherwise, we research its access requirements. Parking, carry distance, elevator restrictions, stairs and item fit need to be considered at delivery as well as pickup.
Share the layout of the new workspace and where desks, equipment and boxes belong. Include any rooms that need to receive their contents first.
Prepare computers and servers with your IT team.
We discuss responsibilities for computers, servers and other electrical equipment during planning. When an office has its own IT team, we generally ask that team to shut down the systems and disconnect electrical equipment the day before the move.
This keeps shutdown procedures and data-protection decisions with the people who manage your systems. We agree on the timing and responsibilities with you before moving day.
